This Refund Policy explains how cancellations and refunds are handled for EncapsEdu subscriptions and services purchased by institutions. Where a signed agreement or order form contains different terms, the signed agreement prevails.
1. Free trials and demos
Demos and free trials are provided at no cost so that institutions can evaluate EncapsEdu before purchasing. Because no payment is collected, no refund applies to a trial. We encourage institutions to use the trial and demo period to confirm that EncapsEdu meets their requirements.
2. Subscription fees
EncapsEdu is offered as an annual or multi-year subscription, billed in advance according to the plan and number of students or modules agreed in your order form. Subscription fees cover access to the platform for the agreed term.
- Subscription fees paid for a term that has already started are generally non-refundable.
- If you cancel before your subscription start date, you may request a refund of fees paid, less any implementation or setup charges already incurred.
- Where we are unable to provide the subscribed service due to reasons within our control, we will offer a pro-rata refund for the unused period.
3. Implementation, training and data migration
Implementation, configuration, data migration, training and customisation services are charged for the effort involved. Once these services have been delivered, fees for them are non-refundable. If a service has been partially delivered, any refund will be calculated in proportion to the work not yet performed.
4. Messaging and third-party charges
SMS, WhatsApp, payment gateway and other third-party usage charges are passed through from service providers. Credits that have already been consumed are not refundable. Unused prepaid messaging credits may be adjusted against future usage at our discretion.
5. Upgrades and downgrades
You may upgrade your plan or add modules at any time; the additional charge will be calculated on a pro-rata basis for the remaining term. Downgrades take effect from the next renewal date and do not result in a refund for the current term.
6. Requesting a refund
To request a cancellation or refund, please write to us through our contact page with your institution name, invoice number and the reason for your request. Our team will acknowledge your request and respond after reviewing it against your agreement.
7. Processing approved refunds
Approved refunds are processed to the original payment method or by bank transfer to the institution's registered account. Processing times depend on the bank or payment provider. Applicable taxes will be handled in accordance with Indian tax regulations.
8. Data after cancellation
Your institution owns its data. On cancellation, you may request an export of your records within the period specified in your agreement, after which data may be deleted in line with our retention practices.
9. Changes to this policy
We may update this Refund Policy from time to time. The current version will always be available on this page, and this policy should be reviewed periodically.
