Privacy Policy

How we collect, use and protect personal information on this website.

Last updated 6 October 2026

This document is a template and must be reviewed by your legal advisor before publication.

This Privacy Policy explains how EncapsEdu ("we", "us", "our") collects, uses, shares and protects personal information when you visit this website or submit an enquiry through it. It applies to the marketing website only. The processing of student, staff and parent data inside the EncapsEdu ERP on behalf of our institution customers is governed by the agreement between EncapsEdu and each institution.

1. Information we collect

We collect information that you provide directly, such as when you book a demo, request a free trial, ask for pricing, request a callback or contact us. This may include your name, email address, phone number, designation, institution name, institution type, city, approximate number of students and any message you send us.

We also collect limited technical information automatically, such as your browser type, device type, pages visited, the referring website and campaign parameters (for example UTM tags) that brought you to our site.

2. How we use your information

  • To respond to your enquiry, schedule demos and provide the information you requested
  • To record your enquiry in our customer relationship management (CRM) system so our team can follow up
  • To understand which pages and campaigns are useful, so we can improve our website and marketing
  • To send you relevant updates about EncapsEdu, where permitted, with an option to opt out at any time
  • To comply with legal obligations and protect our rights

3. Enquiry data and our CRM

When you submit a form on this website, your details are stored in our CRM. Authorised members of our sales and support teams use this information to contact you, record the progress of your enquiry and provide a proposal if requested. We do not sell your personal information.

4. Cookies and attribution

We use a first-party cookie named ee_attr to remember how you first arrived at our website (for example the campaign, source or landing page). This helps us understand which marketing activities lead to enquiries. Please see our Cookie Policy for details on the cookies we use and how to control them.

5. Sharing of information

We may share personal information with trusted service providers who help us operate the website, CRM, email, SMS and messaging services, strictly for the purposes described in this policy and under appropriate confidentiality obligations. We may also disclose information where required by law or to protect our legal rights.

6. Data retention

We retain enquiry information for as long as necessary to respond to you, maintain our business relationship and meet legal or accounting requirements. When it is no longer needed, we delete or anonymise it.

7. Security

We use reasonable technical and organisational measures, including encrypted connections and role based access to our CRM, to protect personal information. No method of transmission over the internet is completely secure, but we work to protect your data.

8. Your rights

Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you may request access to, correction of or deletion of your personal information, or withdraw consent for marketing communications. To make a request, please contact us.

9. Children's information

This website is intended for institution administrators and decision makers. We do not knowingly collect personal information from children through this website.

10. Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised date. We recommend reviewing this page periodically.
